Case Study 01 — Spreadsheet Cleanup

A retail business in Seremban with four years of compounded formula errors

Challenge

Sales totals differed between the main workbook and the finance team's copy. Nobody could identify the source of the discrepancy. A key summary sheet required manual updating every month, which introduced additional inconsistencies.

What we did

Mapped every formula in the workbook. Found three SUMIF functions referencing columns that had been inserted and shifted in 2021. Rebuilt the summary sheet with dynamic references. Separated raw data from working notes into distinct sheets.

Result

Finance and operations are now working from the same figures. The summary sheet updates without manual input. The client completed the Spreadsheet Cleanup and did not require any follow-on service.

Case Study 02 — Report Writing Assistant

A services business producing three recurring reports with inconsistent formats

Challenge

Three monthly reports were being assembled separately by different staff members, resulting in inconsistent formats and occasional errors when figures were manually transcribed. Each report took three to four hours to produce.

What we did

Mapped the three report formats and identified the shared data sources behind them. Built an assistant that pulls from those sources and populates each report template. Set flagging rules for figures the tool could not verify independently.

Result

Report production time dropped to under an hour, with the remainder spent on review and commentary. No transcription errors since setup. The client has maintained the configuration without requiring further support.

Case Study 03 — Refresher Workshop

A six-person team whose AI tool habits had drifted significantly from training

Challenge

The team had been using an AI-assisted drafting tool for nine months. Usage had diverged between members, some using workarounds that bypassed validation steps. Two staff were new and had learned the tool informally.

What we did

Ran a half-day session at the client's premises. Observed how each person was using the tool. Identified and corrected the workarounds that skipped validation. Covered six months of tool changes the team had not reviewed. Answered accumulated questions.

Result

The team left with a shared approach and written notes for future reference. The two new staff members had their understanding corrected before it became ingrained. The business owner noted the session changed what she was comfortable asking the tool to do.
